Outreach and Events Associate

Job Posting Date: 1/9/25

Status: Full-time, Entry-Level, Non-Exempt

Compensation Range: $19-22/hour

Location: On-campus with occasional remote work and travel

Summary:

Under the general supervision of the Associate Director of Admissions, the Outreach and Events Associate (OEA) performs functions that support reaching departmental goals. The OEA is responsible for outreach efforts and engagements with Pacifica’s prospective students. The OEA will also work closely with other department staff and supervisors to assist in supporting students, applicants, and workflow to ensure documentation and data integrity within the institute’s systems, policies, and procedures.

Working primarily from the Pacifica campus, the Outreach and Events Associate will serve as an initial touchpoint for prospective students, whether in-person or virtually. The ideal candidate is an effective, personable communicator who enjoys engaging in conversation and has a relational presence. The Associate also would exhibit strong administrative skills, comfort with technical platforms, events and logistical coordination, and the ability to learn and adapt to systems, programs, processes, and culture.

Associate Responsibilities:

Conduct targeted outreach efforts for prospective students

Be a regular presence on-campus to support engagement with prospective and new students, including coordinating and conducting campus tours and other events

Support Admissions Advisors with outreach communication to prospective students

Provide information on internal and external inquiries regarding Pacifica programs

Assist in planning, calendaring, and attending recruitment and outreach events (both in-person and virtually) at colleges, conferences, local events and other designated events

Assist in processing new applicant files

Data entry and reporting using Pacifica’s CRM and SMS systems to aid in admissions processes and reporting

Take on special projects to support admissions workflow and communication

Support Campus Services with reception and other duties.

Be knowledgeable about Pacifica’s programs and the admissions process in order to speak clearly about them and guide prospective students.

Typical Qualifications:

Bachelor’s degree

Proficient in Microsoft Office Suite – Excel, Word, and Powerpoint.

Experience with CRMs and other software systems preferred (i.e., Slate, PowerCampus, EventBrite, SurveyMonkey, AdobeSign)

Excellent interpersonal, communications, public speaking, and presentation skills.

Exceptional attention to detail.

Strong oral and written communication skills.

Ability to handle and prioritize multiple tasks and work effectively, independently, and efficiently with tight time constraints.

Experience working in an academic environment helpful

Ability to work with flexibility to include evenings, weekends, extended hours and occasional holidays when needed.

Must be able to work from Pacifica’s campuses in the Santa Barbara area. The position may involve some remote work or travel but does require regular on-campus presence.
